ProBase liaised with the different departments to build up a functional specification for the solution required. Once this specification had been agreed, ProBase advised that Microsoft Access would be a more than adequate application for this solution. Using Microsoft Access ProBase developed a central forms database to fully automate the manual process for opening and closing client files.
The process now involves an administrator populating a controlled form within the database, many of the fields are populated automatically based on pre-agreed criteria. When the form has been completed a set of validation rules have to be passed before the form can be submitted. Once submitted the form will appear in the accounts department 'database inbox' for further action. It's the accounts department responsibility to populate the database with the correct references. When populated the references are immediately available to the administrators and can be used for processing and billing.
Automating this process has improved the efficiency and significantly reduced the time taken to generate client references.
