ProBase worked closely with the clients in-house IT department to build a routine to create a set of downloads from the AS400 system. This routine would be run as part of the monthly refresh and all downloads would be stored and immediately made available. After agreeing a functional specification , the client requested the solution be developed using Microsoft Access to create a reconciliation database.

The reconciliation database now imports all the downloads from the AS400 system and automatically runs validation checks before performing all the required calculations. Once the reconciliation process has finished an exception report is produced where applicable and the user can take further action. The user friendly interface and navigation menus allow the user to easily view reconciled customer accounts and where required use functionality to preform any adjustments required. In addition the database also stores electronic copies of all required documentation providing easy access to previous months accounts for historic reference and audit purposes.

Once the database had been installed the entire reconciliation process was performed by 1 employee in 2-3 Days dependant on the number of exceptions.
